About Remembee
Remembee is a GCSE Physics learning app, in a free beta. This notice explains, in plain English, what we keep, why, and what you can do about it. It's for parents and carers, and for the students who use Remembee.
Who we are. Remembee is run by Bharat Parmar. Questions about your data: support@remembee.co.uk.
If you leave your email on our website
We keep your email address, your child's email address if you give it (so they can sign in with it), and the fact that you ticked the box to say you're the parent or carer and happy for your child to take part.
- Why: to tell you about the beta and how your child can join. Nothing else, and never marketing for anyone else.
- Where it goes: it's emailed to the Remembee team (through Fastmail) and saved in our database. We don't add it to a mailing list.
- How long: until your child stops taking part, or 12 months after you signed up if they never start, or sooner if you ask us to delete it. This applies to both copies.
If your child uses Remembee
We keep what a student needs to sign in, what they do in the app, and anything they write to us.
What we keep
- Their email address, or a parent's, so they can sign in. There's no password; we email a sign-in link to that address.
- If a student or parent adds a second email address in Remembee, we keep it to send follow-up questions or a summary to.
- What they tell us to set Remembee up: exam board, course (separate physics or Combined Science) and where they're up to.
- What they do in the app: stories read, how clear each idea felt (clear, hazy or confused), and their answers to quick checks and tests.
- Anything they type to Remembee or send to the team.
- Anything you or they tell us when replying to our emails (for example, your child's year group).
- When they use it: each thing they do is saved with the date and time, so we can see how much Remembee is being used, and what the AI features cost to run.
Why
- To show them where they are and suggest what to do next.
- To mark typed answers.
- To improve Remembee during the beta.
- During the beta, Bharat looks at how each family is using Remembee. This is to decide when to get in touch for feedback, and whether a family qualifies for free lifetime access.
Follow-up questions. If you nearly had some questions in a session, we may email a few of them the next day, to help them stick. You can stop these at any time.
AI
Some of what a student types is sent to Anthropic, the company that provides the AI:
- Everything they type is checked automatically, using AI, for signs they may not be safe.
- Written answers in tests are sent with the question and mark scheme, so they can be marked.
- What they type into the coach is sent with their exam board and which lessons they've finished, so it can point them to the right lesson.
- What they write after a lesson about anything they're unsure of is sent with how clear they rated each idea, so the coach can reply.
We don't send a student's name, email address or account details. Anything a student types is sent as written, so it's best not to type names or contact details. Under Anthropic's commercial terms, what we send isn't used to train its AI (anthropic.com/legal/commercial-terms). Anthropic deletes what we send within 30 days, unless it's flagged as breaking Anthropic's usage rules (it can then keep it for up to 2 years) or the law requires it to keep it longer.
Keeping students safe
What a student types to Remembee is checked automatically, using AI, for signs they may not be safe. If they tell Remembee they're unsafe, we show them who to talk to straight away, and the Remembee team gets an alert with their sign-in email address and the time, so someone can check they're OK.
We keep a short record that an alert happened. It doesn't include what they wrote. It is kept separately for 12 months from the alert, even if other data is deleted sooner, so we can show we acted.
What we don't do, and who helps us run it
We don't advertise, track or sell data.
- No adverts, and we never sell or share data for marketing.
- No tracking or advertising cookies. Remembee stores only what it needs to keep you signed in.
- On our website, we count what visitors do (for example, how many try the sample lesson). These counts contain nothing that identifies you, and no cookies are used.
Who helps us run it. These companies process data for us, only to run Remembee:
- Supabase: the database and sign-in.
- Vercel: hosts the website.
- Resend: sends sign-in emails, welcome emails, follow-up questions and team alerts.
- Anthropic: the AI that checks what students type for safety, marks answers and helps find the right lesson.
- Fastmail: the email service the Remembee team uses to receive sign-up emails and replies.
Where it's held. Our database is in the EU. Fastmail, which we use for email, keeps its main copy in the EU, with a backup in the US. Anthropic, Vercel and Resend are US companies, so the words sent to the AI, and our emails, may be processed in the US.
How long we keep it
We keep learning data while an account is in use, and delete the rest on the schedule below.
- Learning data: while the account is in use. If an account isn't used for 12 months, we delete its learning data.
- What students type to Remembee: deleted 12 months after it's written, unless they ask us to keep it.
- Feedback call recordings: deleted within 3 months.
- The safety record: 12 months from the alert, kept separately even after other data is deleted, so we can show we acted.
- Sign-up emails: as described above, in both our email and our database.
If you take part in feedback
We keep your questionnaire answers, and only record a video call if you agree.
- The questionnaire: we keep your answers, to improve Remembee.
- A video call: a parent is always present. We only record a call if we ask first and you agree, and we delete the recording within 3 months.
- Lifetime access: if your child gets it, we keep a note on their account recording that they have free access to Remembee GCSE Physics.
Why we're allowed to use this data
We rely on consent for your email and the feedback session, and on our legitimate interest for running the app.
- Your email and the feedback session: your consent. You can withdraw it at any time by emailing support@remembee.co.uk.
- Running Remembee for your child (saving progress, marking answers, suggesting what's next, reviewing usage during the beta): our legitimate interest in providing and improving the app you've asked your child to use. For under-16s, we also ask a parent's OK first.
- Safety alerts: to protect a student who may not be safe.
Your choices
You can delete a child's data yourself, or ask us to see, correct or delete it.
- Delete it yourself: in Remembee, open What I know and tap Delete my data. This removes progress, results and everything they've told Remembee, and it can't be undone. Their sign-in email stays so they can still log in, and the safety record stays.
- Or ask us: a student, parent or carer can email support@remembee.co.uk to see, correct or delete data, or to close the account.
- Complaints: you can contact the Information Commissioner's Office (ico.org.uk) if you're unhappy with how we handle data.
Under 16s. We ask a parent or carer to sign up first, which is why the website asks for your email and your OK.
